User meeting in 2008April 12, 2008, Saturday at the Las Vegas, NV Mandalay Bay hotel.Stratford user meetings are informal. We have lots of time for questions. (Please see "last minute information" below) Anything that is of interest to a healthcare professional, billing service, etc may be scheduled.
Our users help us plan our meetings. Have you written to us? support@stratfordsoftware.com Our meetings are open to our users and (sometimes) to our potential users by invitation only. We will discuss and answer questions about our Windows-compiled program, billing issues and whatever you want to discuss. We may even talk about HIPAA issues as they may relate to Stratford Software and you. Please RSVP by April 1, 2008. 1. Cost is $199 per attendee. 2. Accounts with a 'continuous' software maintenance agreement for at least one year (or continuously since becoming a client) only: there is a discounted fee: $98 per attendee from that account. You will have an opportunity to meet with Stratford support and programming personnel. You will have an opportunity to ask questions. You will learn some new things about Stratford Software. We will show the appointment scheduler, EMR (Electronic Medical Record) screens and Allergy screens. We recommend arriving sometime Friday and stay at least 2 nights. Did you know that airline tickets are usually less expensive if you have a Saturday between arrival and departure? We recommend that you bring your laptop. If you have a question about your account or the software, we can look at it with you. Schedule for the meeting: Note: it is a long walk from the main hotel and casino. The Mandalay Bay convention center is a very large complex. Everything is inside and air conditioned. Bring your comfortable shoes. Saturday Check with the hotel http://www.mandalaybay.com/ for room rates. Sometimes they have a promo for a suite at a very reasonable price. You can enjoy the Las Vegas sights. Las Vegas is a big city with lots to do. Bring your comfortable clothes and walking shoes. The Mandalay Bay hotel is at the South end of 'the strip' not far from the airport. From the Mandalay Bay hotel you can walk North to the Luxor and Excalibur hotel in a covered walkway. NewYork-NewYork and MGM Grand are not far. If you would like to attend, let us know. Last minute information We would like for attendees to submit a question and/or topic for us to go over at the conference. Please include as much information as possible. Send this in an email to support@stratfordsoftware.com We may want to reply to ask you a question to make sure we know for sure what you want discussed. This is your chance to discuss things that may not be appropriate for day to day support. We recommend that you bring your laptop. If you have a question about your account, we can look at it with you. We will have the latest update and can load it if you want. In the past, we brought desktop computers but because of Hotel regulations we may not be able to do that this year. Here are some notes taken at the meeting: Charge (open item) data entry screen Always stop on the modifier when using an auto-transaction and the modifier is left blank. Always stop on the quantity when using an auto-transaction and the quantity is left blank. Right click to go to the Claim Question screen and also for the next patient (something like the old dos version) Claim Question screen HGB, HCT, EPO Start dose information does not appear in the transmission (yes
all versions as below). Insurance claim review: from the main directory, patient, patient insurance, payor screens Search on subscriber ID should search on the 1st ID (not the member ID) Patient screen: Add at least one more phone number. Patient Financial class screen: Need a custom description which shows on the patient lookup screens in case you have something like 3 different workman's comp financial classes for one patient for 3 different injuries. Scheduler: When left clicking on the appointment bar, do not edit, always add. Only use right-click to edit. If the appts are close together it is difficult to double click. It is easy to click under or over the existing appt, but temp employees have a hard time with that. Auto Transaction screen: Allow lab and/or facility entry. Various screens: set the 'Active date' to the main menu date (not today's date) need to be able to delete memos on the transaction screens The 'running total' on the transaction screens should be 'per-patient' not
per-batch. Reports: Statement - new patient selection method - need those with transactions => 90 days old with no insurance payments when the patient does have insurance registered. Statement - want a new layout on full page (8.5 X 11). Possible (maybe) if at least 20 clients with software support can agree on the new layout. This would be very expensive for you unless we could come up with a style that all clients would accept and we could eliminate the present format. Statements are a custom form and are very expensive to design and stock. We believe that having a clearinghouse like HealthSmart or ClaimEDI do your mailing would be less expensive and you could design a form to your specifications.
