User meeting in 2009

April 25, 2009, Saturday 8:30am to 2:30pm. The location is;

Stratford user meetings are informal.

We have lots of time for questions. (Please see "last minute information" below)

Anything that is of interest to a healthcare professional, billing service, etc may be scheduled.

  1. ICD10 (we can demonstrate our automatic code conversion and assistance utilities)

  2. Conversion from dos to the windows version and related questions.

  3. If you have something that you definitely want to discuss, send us an email now so we can plan for it.

Our meetings are open to our users and (sometimes) to our potential users by invitation only.

We will discuss and answer questions about our Windows-compiled program, billing issues and whatever you want to discuss. We may even talk about HIPAA issues as they may relate to Stratford Software and you.

Please RSVP by February 10, 2009. 

1. Cost is $199 per attendee.

2. Accounts with a 'continuous' software maintenance agreement for at least one year (or continuously since becoming a client) only: there is a discounted fee: $98 per attendee from that account only if prepaid in full on or before 2/15/2009 (this is necessary to reserve the location).


You will have an opportunity to meet with Stratford support and programming personnel. You will have an opportunity to ask questions. You will learn some new things about Stratford Software. We will show the appointment scheduler, EMR (Electronic Medical Record/Chart Notes) screens and Allergy screens. We will be showing the new utility that allows you to download an update without an ID or password, anytime you want. This utility will also allow you to upload files if needed for support as well as download special files.

We recommend that you bring your laptop. If you have a question about your account or the software, we can look at it with you.

This meeting is NOT a lecture. We are NOT going to sell you anything. We are NOT going to talk you into anything. This a place where you can meet people at Stratford and we can meet you.  You can talk with other Stratford Software users at this meeting. This meeting is whatever you want it to be - for you. For us, this is a place to talk face-to-face with our clients. We learn a lot to make our software better. A great meeting for us is meeting with a client who brings pictures, shows us something on his/her laptop, etc - a client who has a specific need and can show it.

Schedule for the meeting:

Saturday
8:30am - 10:00 - continental breakfast, registration, etc (we will be setting up equipment at 8:30)
9:30am - 2:30 pm  - meeting

refreshments / light lunch around noon


Check with the hotel for room rates. Sometimes they have a promo for a suite at a very reasonable price.

  • Almost ALL public places including hotels are 100% non-smoking in the San Francisco bay area.

Last minute information

We would like for attendees to submit a question and/or topic for us to go over at the conference. Please include as much information as possible. Send this in an email to support@stratfordsoftware.com We may want to reply to ask you a question to make sure we know for sure what you want discussed. This is your chance to discuss things that may not be appropriate for day to day support.

We recommend that you bring your laptop. If you have a question about your account, we can look at it with you. We will have the latest update and can load it if you want. In the past, we brought desktop computers but because of hotel regulations we may not be able to do that this year.

merge onto US-101 S toward San Jose
Take exit 419B toward Burlingame/Broadway
Keep left at the fork, follow signs for Airport Blvd
Turn right at Rollins Rd (signs for Airport Blvd/Bayshore Hwy/Rollins Rd)

Destination will be on the left

From San Jose:
Take the US-101 toward San Francisco
Take exit 419A to merge onto Anza Blvd

The meeting is in the Contra Costa room. If you park in the back of the hotel, go through the doors and it is the first room on the right.

Below are some notes from our 2009 meeting

Good suggestions

  • Create a control file edit screen for statements similar to the one for insurance. Eliminate the need to manually edit the control files.
  • Statements: Have the ability to only show the amount the patient is currently owing. Do not show the whole balance.
  • Want a full screen capability, or eliminate the blue screen behind the program screen.
  • EDI lookup; since the program requires an EDI code, even if insurance does not go electronically, have the program auto fill with
    INS01 or something for secondary insurance if EDI lookup is blank.
  • Lookup and sort patients by date of birth, driver's license, zip code. (date of birth will happen), not sure about driver's license.
    Where would that go?
  • Notes section on patient main screen; give the ability when you click on it, the whole note pops up, like notepad etc. ( I think several
    of the notes fields do this now)
  • Add the menu choice, as in DOS, for the reports of list of all patients by insurance company, referring provider, facility. In DOS it
    is menu choice 6, 6, #
  • When viewing the Statement or Insurance files, have a button to delete the item in the view instead of having to edit the file and
    remove the account code in the lower left corner of each claim. Currently there is no way to easily remove an unwanted statement in a
    batch.
  • screen where the statement (and maybe the ins claim) file could be edited one page at a time with a delete / continue button or something
    like that so you would not need to manually edit and space over the 4 characters
  • ability to delete more than one EOB/auto-post trx at a time - ex: could delete a full screen of them. (done)
  • patient lookup by DOB (done)
Need more information
  • Add a field on the patient screen for cell phone. (there are 2 now and unlimited in the miscellaneous tabs)
  • Include a note line on the transaction screen since the note section on the patient screen cannot be seen (could show one of the patient info lines)
  • Dual claim questions for same active date. When a patient is discharged from the hospital but admitted on the same day to a nursing
    home, have different claim question information, possibly key it off the POS? (Possible include the time as well as the active date?) Recommend: different insurance guidelines for different situations should have a different financial class. These 2 situations are totally different. Just because they occur on the same day does not relate them. Life in a nursing home and claim payment is a world apart from life in a hospital and claim payment. If a patient is on Medicaid this month and has a job and private insurance next month is definitely a situation that requires different financial classes in order to make the billing simpler.
  • Have a variable added to statement control, that will only allow the statement to generate only if secondary has paid or memo.
  • MCS audit, need to be able to find the error more easily than currently being done. Point to specific field that is in error, since
    the edit knows the line that is in error.
  • A report of payments received and by who, ie, patient, co pay, insurance etc. and also by CPT code.
  • A report or listing in the patient screen of of statements generated, similar to the listing of claims generated that is already in
    place.
  • Instead of blocking the whole transmission, or one bad claim, the program could skip the 'bad' claim and process the remainder of the
    file.
  • Is it possible instead of re-demanding unpaid claims, the program with be able to create all those types of claims at once. (We are not
    going to create a program to automate re sending a claim)
  • For insurance that does not accept the claim status report, provide a report that shows when claim was filed or a screen that can be
    captured in screen shot. (I think this already exists)
  • For patients with insurance, distinguish between insurance responsible and patient responsible and track accordingly. (How?) (This
    might be possible if the EOB is auto-posted)
  • More detailed reports that track and show payments received. (can't work with this. need specifics)
  • For patients with multiple billing accounts, once in one of the accounts, have a button that will just put you back to the 'lookup
    billing accounts' screen instead of going all the way back to 'lookup patient accounts' screen?
